Terms and membership agreement
These are the terms you accept when you register for a pass, a membership or a service at The WorkStation. They are written to be read, so please do.
1. Lounge & Coworking Space terms
1.1 What a pass gives you
A Day Pass, Week Pass or Monthly Pass lets you use the shared coworking areas (hot desks, focus desks and the lounge) for 24 hours, 7 days or 30 days, counted from the moment your payment is confirmed. Wifi, coffee and the meeting rooms are included.
Desks are shared and taken first come, first served. No desk is kept for you unless your plan says so in writing.
1.2 Memberships and services
- The Membership Subscription (monthly or yearly) gives you members' prices on passes and services. On its own it does not include desk access: add a pass on the days you want to work here.
- The Platinum Membership includes what is listed when you buy it, or what we agree with you in writing.
- Mailbox/Locker, consultation packages, visa assistance and housing assistance are services. What each includes is described when you buy it; section 3 covers how to cancel them.
1.3 Access and opening hours
After your payment is confirmed we email you a personal door ID and PIN. They open the building 24 hours a day while your pass runs and stop working when it ends. The PIN is never shown on screen: if you lose it, ask for it again from My account or at the front desk.
The front desk is staffed Monday to Friday 09:00 to 21:00 and Saturday 10:00 to 21:00. On Sundays and outside these hours the space is open to members with a door code, without reception.
1.4 Meeting rooms
Meeting rooms are shared by everyone. Book them at the front desk. We may limit how long one person books so that everyone gets a turn.
1.5 Guests
You are welcome to bring a guest for a short visit. Sign them in at the front desk and stay with them. A guest who wants to work from the space needs their own pass. You are responsible for your guests while they are here.
1.6 Changes and closures
We may rearrange the space and occasionally close parts of it for cleaning, repairs or events. We will give notice when we can. If the space is closed for more than 24 hours of the time you have paid for, we will extend your pass by that time or refund it, as you prefer.
2. Membership Fees & Payment
2.1 Prices
Our prices are shown in Thai baht on this website and at the front desk. They include 7% VAT where it applies. Members' prices are for people with an active membership at the time they buy.
2.2 Enrollment fee
New members pay a one-time enrollment fee when they first join. The amount is shown during registration, before you pay.
2.3 How you can pay
- Card, online. Card payments go through Square's secure payment page and are charged in US dollars, at the price shown on that page. Your bank may add a foreign transaction fee, and the amount on your statement in baht can differ slightly from the baht price.
- Thai QR (PromptPay). Scan the QR code shown during registration with any Thai banking app. It already contains the exact amount in baht. Pay that amount, then upload the slip your banking app shows.
- At the front desk. By card or in cash.
2.4 When your pass starts
Your pass starts when your payment is confirmed: for a card, when Square confirms it; for Thai QR, when your slip has been checked. Most slips are checked within a few minutes; some are checked by a member of staff, which can take longer during busy times or outside reception hours.
2.5 Payment slips
A slip must be genuine, show a completed transfer of the exact amount to The WorkStation's own QR, and be used once. A slip that has been edited, belongs to someone else's payment or was already used will be refused, any access it gave will be stopped, and we may report it.
2.6 Membership renewals
A Membership Subscription renews for the next month or year when you pay for that period. If a period is not paid, your membership and members' prices end when the paid period does.
2.7 Receipts
We email a confirmation when you pay, and members can open or print a receipt for every payment in My account. These are payment receipts, not tax invoices. If you need a tax invoice, ask the front desk and give us the name, address and tax ID to put on it.
2.8 Price changes
We may change our prices. A new price never applies to a period you have already paid for. If you have a membership, we will email you at least 30 days before a new price applies to your next renewal.
2.9 Refunded or reversed payments
If a payment is refunded, charged back or reversed, the pass or membership it paid for ends and the door code it gave stops working.
3. Cancellation Policy
3.1 Passes
Day, Week and Monthly Passes start as soon as your payment is confirmed. Once a pass has started it cannot be cancelled or refunded, and unused time does not carry over. Section 3.5 lists the cases where we do refund.
3.2 Memberships
Your membership continues until you cancel it. To cancel, tell us in writing (by email to [email protected], or on paper at the front desk) at least 7 days before your next period begins. Your membership then ends at the end of the period you have already paid for. We do not refund part of a period, and the enrollment fee is not refundable.
3.3 Consultation packages
A consultation package can be used within 6 months of purchase. You can move or cancel a booked session up to 24 hours before it starts. A session cancelled later than that, or missed, counts as used.
3.4 Mailbox/Locker
Cancel a mailbox or locker in the same way as a membership (section 3.2). Please collect your mail and belongings within 30 days after it ends. After that we may return mail to the sender and dispose of anything left in a locker.
3.5 When we refund
- You paid twice, or paid more than the price: we refund the difference.
- We could not give you what you paid for, for example a closure as described in section 1.6: we extend your time or refund the unused part.
- We end your membership for a reason that is not your fault: we refund any time you have paid for and not used.
Card payments are refunded to the same card through Square, in US dollars; your bank's exchange rate on the day may differ from the rate when you paid. Thai QR and bank payments are refunded by bank transfer, in baht, to the account the payment came from. We start a refund within 7 days of agreeing it; your bank may take longer to show it.
3.6 When we can end a membership
We may suspend or end your access for a serious or repeated breach of these terms, such as sharing your door code, letting people in, theft, violence, harassment or damage. For a serious breach we may end your access at once and keep the payment for the period already started.
3.7 Your rights under Thai law
Nothing in this policy takes away any right you have under Thai consumer protection law.
4. Rules & Regulations
These rules keep the space safe, quiet and fair for everyone.
4.1 Your door code is yours alone
Do not share your door ID or PIN, and do not let anyone in behind you. If you think someone knows your code, tell the front desk and we will change it. Every door entry is logged.
4.2 Quiet and respect
- Keep the desk areas quiet. Take calls and video meetings in a meeting room, the lounge or outside, and use headphones for anything with sound.
- Treat members, guests and staff with respect. Harassment, discrimination and threatening behaviour are not tolerated.
4.3 Keep it tidy
Hot desks are shared: clear your desk when you leave and do not leave belongings on it overnight. Leave meeting rooms as you found them, and keep strong-smelling food to the café area.
4.4 Smoking, drugs and animals
No smoking or vaping inside the building. No illegal drugs anywhere on the premises. No animals, except assistance animals.
4.5 Wifi and the network
Use the network lawfully and fairly: no illegal downloads, no attempts to access other people's devices or our systems, and no traffic heavy enough to slow the connection for everyone else.
4.6 Your belongings and lost property
Your belongings are your responsibility. Items found in the space are kept at the front desk for 30 days.
4.7 Damage and safety
Tell the front desk about anything broken or unsafe. You pay for damage that you or your guests cause beyond normal wear. Follow staff instructions about safety, and leave the building when asked in an emergency.
4.8 If rules are broken
We will usually talk to you first. Serious or repeated breaches can lead to suspension or the end of your membership (section 3.6).
5. Liability & Indemnification
5.1 Our care
We take reasonable care to keep the space safe, clean and working, and to provide what you have paid for.
5.2 Things outside our control
Wifi, power, the door system and other services rely on outside providers. We fix problems as quickly as we reasonably can, but we are not responsible for losses caused by events outside our reasonable control, such as power cuts, internet provider outages, severe weather or government orders. If such an event stops you using the space for more than 24 hours of your paid time, section 1.6 applies.
5.3 Your belongings and data
We are not responsible for loss of or damage to your belongings, equipment or data unless it is caused by our negligence. Please back up your work and consider insurance for valuable equipment.
5.4 Advice and assistance
Consultations, visa assistance and housing assistance give you guidance and practical help. Decisions on visas, permits, leases and similar matters are made by the authorities, landlords and other parties involved, so we cannot guarantee an outcome. Where you need a licensed Thai lawyer, we will tell you and can refer you to one.
5.5 Limit of our liability
Except as set out in section 5.6, our total liability to you for all claims is limited to the amount you paid us in the 3 months before the event that caused the claim, and we are not liable for indirect losses such as lost profits, lost business or lost opportunities.
5.6 What we do not limit
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud or gross negligence, or for anything else that Thai law does not allow to be limited.
5.7 Your responsibility to us
You agree to compensate us for loss, damage, claims and reasonable costs caused by your breach of these terms, by unlawful activity on our premises or network, or by damage that you or your guests cause.
6. Membership Agreement
6.1 Who the agreement is between
This agreement is between The WorkStation Coworking & Education Center, Riviera Building, 29/1125 Moo 12, Nong Prue, Pattaya, Chon Buri 20150 ("The WorkStation", "we", "us") and the person who registers ("you"). If you register for a company, you confirm that you may accept these terms for it.
6.2 What it is made of
The agreement is made of the plan or service you choose, as shown at checkout and on your receipt, together with sections 1 to 6 of these terms. If something we agreed with you in writing for your plan differs from these terms, what we agreed with you applies.
6.3 When it starts and how long it lasts
The agreement starts when your payment is confirmed. A pass ends at the end of the period you paid for. A membership continues until you cancel it with written notice as section 3.2 explains, or until a period is not paid.
6.4 Your details
Please give us true details and keep them up to date, in My account or at the front desk. We send your door code, receipts and any notices about your membership to the email address you gave us.
6.5 Your personal data
We follow Thailand's Personal Data Protection Act B.E. 2562 (PDPA).
- What we keep: the details you give when you register (such as your name, email, phone, date of birth, address, emergency contact and messaging IDs), your payments and payment slips, door entries, and your member account activity.
- Why: to run your membership: to issue door codes, take and check payments, send receipts and notices, help you, keep the space safe and meet our legal and tax duties.
- Who sees it: our staff, and only the providers we need to run the service: Square for card payments, our email provider, our hosting provider, and an automated service that reads uploaded payment slips. We never sell your details.
- How long: while you are a member, then as long as the law requires for payment and tax records. Other details are deleted when they are no longer needed.
- Your rights: you can ask to see, correct or delete your details, object to how we use them, or withdraw consent, by emailing us or at the front desk. Members can also ask for deletion from My account. You can complain to Thailand's Personal Data Protection Committee.
6.6 Changes to these terms
We may update these terms. The new version will be published on this page with its date. If you have a membership, we will email you at least 14 days before a change that affects you materially takes effect. If you do not accept the change, you can cancel before it applies and we will refund any membership time you have paid for and not used.
6.7 Law and disputes
This agreement is governed by the laws of Thailand, and the courts of Thailand decide any dispute. If something goes wrong, please talk to us first: most problems are solved faster that way.
6.8 The rest
If any part of these terms cannot be enforced, the rest still applies. These terms are written in English; if we provide a translation and it differs, the English version applies.
